Velocity Training (VTES™) (“Velocity Training,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our websites, enroll in courses, or use our services (collectively, the “Services”), including our Virtual Campus at vtes.digitalchalk.com and our safety course portal at vtes.otsystems.net.

1) Scope

This Policy applies to personal information processed by Velocity Training in connection with our websites, storefront, Virtual Campus, safety course portal, support channels, and related offerings. It does not apply to third-party websites or services we do not control.

2) Information We Collect

A. Information you provide to us

  • Account & profile data: name, email, phone, employer/role, password (hashed by our providers), and course selections.
  • Enrollment & training records: course progress, quiz/exam attempts, scores, certificates, PDH/CE hours.
  • Communications: messages sent via chat, email, phone, SMS, or contact forms, including support conversations.
  • Payments: handled by our checkout/LMS providers; we receive limited payment metadata (e.g., status) and do not store full card details.

B. Information collected automatically

  • Device & usage: IP address, device identifiers, browser type, pages visited, referring/exit pages, timestamps, and similar usage data.
  • Cookies & similar technologies: to keep you signed in, remember preferences, enable analytics, and secure the platform.

C. Information from third parties

  • LMS & portals: our learning platforms (e.g., vtes.digitalchalk.com) provide training telemetry and records.
  • Payment & fraud prevention providers: status updates and basic transaction metadata.
  • Partners/employers: when a company purchases seats or assigns training to you.

3) How We Use Information

  • Deliver, operate, and improve the Services (including course access, progress tracking, exams, and certificates).
  • Provide support (our typical reply time is within 2 hours during business hours), respond to inquiries, and fulfill requests.
  • Personalize content, remember preferences, and secure accounts.
  • Send service, transactional, and administrative messages (e.g., enrollment confirmations, password resets).
  • Send training tips or promotional messages where permitted (you may opt out at any time).
  • Comply with legal obligations and enforce our Terms.

Legal bases (EEA/UK): performance of a contract; legitimate interests (e.g., service improvement, security); consent (where required); and compliance with legal obligations.

4) How We Share Information

  • Service providers / processors: learning management platforms (e.g., Virtual Campus at vtes.digitalchalk.com), safety course vendors (vtes.otsystems.net), cloud hosting, email, analytics, and payment processors. They process data on our behalf under appropriate agreements.
  • Employers / sponsors: if a company enrolls you, we may share attendance, progress, and certificate status with that sponsor.
  • Legal & safety: to comply with law, respond to lawful requests, or protect rights, safety, and integrity of our Services.
  • Business transfers: in connection with a merger, acquisition, or asset sale, consistent with applicable law. Consumer SMS data, including mobile phone numbers, message content, and opt-in and consent records, is excluded from these transfers.

We do not sell your personal information. We also do not share personal information for cross-context behavioral advertising as defined by certain state privacy laws.

SMS Privacy and Data Sharing

Customer data is not shared with third parties for promotional or marketing purposes.

Mobile opt-in and consent are never shared with anyone for any purpose. Any information sharing that may be mentioned elsewhere in this policy excludes mobile opt-in data.

Consumer SMS data, including mobile phone numbers, message content, and opt-in and consent records, is never sold, shared, or transferred to outside organizations for their own use. This restriction applies at all times, including mergers, acquisitions, and asset sales. Any general information-sharing or business-transfer provisions elsewhere in this policy exclude consumer SMS data.

Access to consumer SMS data is limited to authorized Velocity Training personnel and service providers that operate our messaging service on our behalf. These providers may access and process the data only to deliver and support our messages, must protect it against unauthorized access or sharing, and may not use or disclose it for their own purposes.

When you agree to SMS messaging, we use your mobile phone number and the information you provide to respond to your inquiries and provide customer support. Please review our SMS Messaging Terms and Conditions below.

5) Cookies & Analytics

We and our providers use cookies and similar technologies to keep you signed in, remember preferences, enable analytics, and protect the platform. You can use your browser settings to block or delete cookies; however, the Services may not function properly without them.

Do-Not-Track: we do not respond to DNT signals due to the lack of a consistent industry standard.

6) Security

We implement administrative, technical, and physical safeguards appropriate to the nature of the data we process. Despite our efforts, no method of transmission or storage is fully secure. Please protect your account credentials and contact us immediately if you suspect unauthorized activity.

7) Data Retention

We retain personal information for as long as needed to provide the Services (e.g., your account, training records, certificates), comply with legal, tax, and audit requirements, resolve disputes, and enforce agreements. When no longer necessary, we take steps to delete or de-identify data in accordance with our retention practices.

8) Your Privacy Rights

You may have the right to request access, correction, deletion, restriction, portability, and to object to certain processing. Where we rely on consent, you may withdraw it at any time.

U.S. (including CCPA/CPRA)

Depending on your state, you may have the right to request access, correction, deletion, and to opt out of “sale” or “sharing” of personal information. We do not sell or share your personal information as those terms are defined by CPRA.

Exercising your rights

To make a privacy request, email admin@velocitytrained.com or training@velocitytrained.com. We may verify your identity and request additional details to process your request. You may also designate an authorized agent where permitted by law.

Marketing Communications

You can opt out of promotional emails at any time by using the unsubscribe link or contacting us. We may still send service and transactional messages (e.g., enrollment, account, or policy updates).

For SMS messages, follow the opt-out instructions in our SMS Messaging Terms and Conditions. After an SMS opt-out, no further SMS messages will be sent other than a confirmation of your request, unless you opt in again.

9) Children’s Privacy

Our Services are intended for individuals aged 18 and older and are not directed to children under 18. We do not knowingly collect personal information from children under 18. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.

10) International Users & Data Transfers

We are based in the United States. If you access the Services from outside the U.S., your information may be transferred to, stored, and processed in the U.S. and other countries where our providers operate. We implement appropriate safeguards for international transfers in accordance with applicable law.

11) Changes to This Privacy Policy

We may update this Policy from time to time. We will post the updated Policy with a new “Effective date” and, when appropriate, provide additional notice. Your continued use of the Services after an update constitutes acceptance of the revised Policy.

13) Velocity Training Messaging Terms and Conditions

The messaging program consists of general conversational messaging to answer questions and provide support to customers.

This includes automated missed-call acknowledgments through Grasshopper’s Instant Response feature and responses to customer questions about course registration, billing, web support, and corporate training. This SMS program does not send marketing or promotional messages.

Consent to Receive Messages

SMS participation is optional. We send SMS messages only with your permission. Providing a phone number or enrolling in a course does not, by itself, constitute consent to receive SMS messages. Consent to receive SMS messages is not a condition of purchasing a course or service.

Message Frequency and Rates

Message frequency varies based on your inquiries and communication needs. Message and data rates may apply to messages sent to you from us and to us from you. Contact your wireless provider with questions about your text or data plan.

Opting Out

You can cancel SMS messaging at any time by replying STOP or CANCEL to the phone number from which you received messages. We will send one SMS message confirming that you have been unsubscribed. After that confirmation, you will no longer receive SMS messages from us unless you opt in again. To resume messaging, sign up again through the same opt-in process you used initially.
