Velocity Training (VTES™) (“Velocity Training,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our websites, enroll in courses, or use our services (collectively, the “Services”), including our Virtual Campus at vtes.digitalchalk.com and our safety course portal at vtes.otsystems.net.

1) Scope
This Policy applies to personal information processed by Velocity Training in connection with our websites, storefront, Virtual Campus, safety course portal, support channels, and related offerings. It does not apply to third-party websites or services we do not control.
2) Information We Collect
A. Information you provide to us
- Account & profile data: name, email, phone, employer/role, password (hashed by our providers), and course selections.
- Enrollment & training records: course progress, quiz/exam attempts, scores, certificates, PDH/CE hours.
- Communications: messages sent via chat, email, phone, or contact forms, including support conversations.
- Payments: handled by our checkout/LMS providers; we receive limited payment metadata (e.g., status) and do not store full card details.
B. Information collected automatically
- Device & usage: IP address, device identifiers, browser type, pages visited, referring/exit pages, timestamps, and similar usage data.
- Cookies & similar technologies: to keep you signed in, remember preferences, enable analytics, and secure the platform.
C. Information from third parties
- LMS & portals: our learning platforms (e.g., vtes.digitalchalk.com) provide training telemetry and records.
- Payment & fraud prevention providers: status updates and basic transaction metadata.
- Partners/employers: when a company purchases seats or assigns training to you.
3) How We Use Information
- Deliver, operate, and improve the Services (including course access, progress tracking, exams, and certificates).
- Provide support (our typical reply time is within 2 hours during business hours), respond to inquiries, and fulfill requests.
- Personalize content, remember preferences, and secure accounts.
- Send service, transactional, and administrative messages (e.g., enrollment confirmations, password resets).
- Send training tips or promotional messages where permitted (you may opt out at any time).
- Comply with legal obligations and enforce our Terms.
Legal bases (EEA/UK): performance of a contract; legitimate interests (e.g., service improvement, security); consent (where required); and compliance with legal obligations.
4) How We Share Information
- Service providers / processors: learning management platforms (e.g., Virtual Campus at vtes.digitalchalk.com), safety course vendors (vtes.otsystems.net), cloud hosting, email, analytics, and payment processors. They process data on our behalf under appropriate agreements.
- Employers / sponsors: if a company enrolls you, we may share attendance, progress, and certificate status with that sponsor.
- Legal & safety: to comply with law, respond to lawful requests, or protect rights, safety, and integrity of our Services.
- Business transfers: in connection with a merger, acquisition, or asset sale, consistent with applicable law.
We do not sell your personal information. We also do not share personal information for cross-context behavioral advertising as defined by certain state privacy laws.
5) Cookies & Analytics
We and our providers use cookies and similar technologies to keep you signed in, remember preferences, enable analytics, and protect the platform. You can use your browser settings to block or delete cookies; however, the Services may not function properly without them.
Do-Not-Track: we do not respond to DNT signals due to the lack of a consistent industry standard.

We implement administrative, technical, and physical safeguards appropriate to the nature of the data we process. Despite our efforts, no method of transmission or storage is fully secure. Please protect your account credentials and contact us immediately if you suspect unauthorized activity.

Marketing Communications
You can opt out of promotional emails at any time by using the unsubscribe link or contacting us. We may still send service and transactional messages (e.g., enrollment, account, or policy updates).
9) Children’s Privacy
Our Services are intended for individuals aged 18 and older and are not directed to children under 18. We do not knowingly collect personal information from children under 18. If you believe a child has provided us information, contact us and we will take appropriate steps to delete it.
10) International Users & Data Transfers
We are based in the United States. If you access the Services from outside the U.S., your information may be transferred to, stored, and processed in the U.S. and other countries where our providers operate. We implement appropriate safeguards for international transfers in accordance with applicable law.
11) Changes to This Privacy Policy
We may update this Policy from time to time. We will post the updated Policy with a new “Effective date” and, when appropriate, provide additional notice. Your continued use of the Services after an update constitutes acceptance of the revised Policy.
